Job title: Assistant to the Clerk
Reports to: Parish Clerk
Salary scale: LC1 (SCP 7-12) £12.63 - £13.73/hour
Hours: 12 hours per week worked flexibly but with a requirement to be in the office on Mondays.
Start: June/July 2024
Contract: 1 year (subject to review)
Probation period: 4 months
Duties will include
- General office administration including answering the telephone in a professional manner, providing general information and taking messages as appropriate, to attend to the post and emails.
- To handle bookings for the Community Centres in accordance with the conditions of hire, to handle invoicing, collection of payments, financial management.
- Ensure all relevant inspections and tests are carried out and liaising with the cleaning contractor on the cleaning rota and to order cleaning materials.
- Manage arrangements to ensure that the Community Centres are ready for each hirer.
- Check the Council website / social media (Facebook) and update as required.
- If required attend meetings of the Council, its committees and working parties and prepare agendas and minutes for the meetings.
- Marketing for the Council such as posters, flyers etc.
- To receive and deal with correspondence and documents and to liaise with the public on behalf of the Council.
- Obtain quotes and place orders for supplies and works as instructed by the Clerk.
- To undertake tasks and actions as delegated by the Clerk and attend any events of the Council, which may be out of normal office hours, if required.
- To undertake other duties as may be required from time-to-time commensurate with the level of the post and, in particular, to provide short-term cover for the Clerk in the event of absence, including taking Minutes of meetings.
- To attend training courses or seminars on the work and role of the Assistant to the Clerk, with an aim to completing ILCA and CILCA qualifications.
- To assist in producing and publishing the Council newsletter, including attending editorial meetings when necessary.
- To ensure environmental matters raised with Milton Keynes Council are satisfactorily monitored and actioned.
Essential skills
- Competent IT with Microsoft 365 word and excel experience.
- Good communicator.
Pay and Conditions
- The candidate will be office based and all office requirements will be provided.
- Salary will be paid at NJC Scale SCP7 to SCP12, starting point depending upon experience.
